How to Deliver Wedding Photos in the UK (2026): Turnaround, Galleries and GDPR
A practical guide for UK wedding photographers on delivering wedding photos: setting turnaround times, sneak peeks, file sizes, online galleries versus USB, sharing with guests, how long galleries stay online, favourites and albums, UK GDPR and consent, and 3-2-1 backups.
Short answer
Promise a turnaround in your contract that you can beat in your busiest month, send a small sneak peek within a few days, and deliver the full set as an online gallery that works on phones, with full-resolution and web-sized files. State how long the gallery stays online, ask couples to keep their own copy, ask separately before using photos for marketing under UK GDPR, and keep 3-2-1 backups until delivery is done.
For a couple, the wedding gallery is the moment the whole booking pays off. For the photographer, it's the end of weeks of culling and editing, and the start of the thing couples remember most: how it felt to receive their photos. Delivery deserves as much care as the shoot.
This guide is for UK wedding photographers. For the general version, see how to deliver wedding photos to clients; for timing specifically, how long wedding photos take. It covers realistic turnaround times and how to set expectations, sneak peeks, what to deliver and in what sizes, how long galleries should stay online, guest access, albums, backups, and your obligations under UK GDPR, with a practical workflow at the end.

Turnaround: pick a promise you can keep
There's no single right turnaround. What matters is that you promise a date range in your contract and beat it. Couples are rarely upset by a six-week wait they were told about; they are upset by a four-week promise delivered at six.
- Base it on your busiest month, not your quietest. A turnaround that works in March can collapse in August when you're shooting two weddings a weekend.
- Put it in writing in the contract and the booking confirmation, and repeat it in the thank-you message after the wedding.
- Under-promise slightly. If you usually deliver in four weeks, say six. Early delivery feels like a gift.
- Send a short update partway through if it's a busy season. A "your photos are being edited, still on track for the 14th" message stops the chasing.
Sneak peeks in the first few days
(More on this in our guide to wedding sneak peeks.)
A small set of finished images within a few days of the wedding does a lot of work. Couples share them while friends are still talking about the day, which is the best marketing you'll get, and it buys you calm editing time for the full gallery.
- Choose 10 to 30 images that tell the day: the venue, the two of them, a few candids, the party.
- Deliver them the same way as the full gallery, so the full delivery feels familiar.
- Make it clear they're a preview, and when the full set will arrive.
What to deliver, and in what sizes
- Full-resolution JPEGs for printing, in the colour space your labs expect (usually sRGB).
- Web-sized copies for sharing on phones and social media. Couples often struggle with huge files on a phone; a web size saves them hassle.
- A clear count that matches what the contract promised (for example "around 500 edited images"), and a consistent edit across the whole day.
- Raw files: most photographers don't supply them. If you do, or if couples ask, say so in the contract either way.
- Video, if you shoot it, in a format that plays on phones as well as computers.
Online gallery, USB or both
An online gallery is now the standard way couples receive and share their photos: it opens on any phone, family can see it the same day, and nothing gets lost in the post. A USB stick or a boxed set of prints is a lovely keepsake, but on its own it's awkward to share and easy to lose. Many photographers do both: the online gallery first, with a USB or keepsake box following.
Whatever you use, test the experience on a phone, because that's where most couples and nearly all guests will open it.
Sharing with guests and family
- Ask the couple first. Some want to see everything before guests do; some want the link in the family group chat on day one. Make it their choice.
- Use a password if the couple wants the gallery private, and share the password only with people they choose.
- Decide on downloads for guests. Couples often want guests to be able to download, but not necessarily the whole gallery in full resolution.
- A QR code on a card at the venue or in the thank-you cards is an easy way for guests to find the gallery later.
How long the gallery stays online
Say it clearly in your contract: how long the online gallery will stay available, and what happens after. Common choices are a year, a few years or "for as long as I'm in business", and some photographers offer an extension for a small fee. Whatever you choose:
- Tell couples to download and keep their own copy. An online gallery is for sharing; the couple's own backup is for keeping.
- Remind them before a gallery closes, so nobody finds an expired link on their first anniversary.
- Keep your own archive for at least as long as your contract says, and tell couples how long that is.
Favourites, albums and prints
- Let couples mark favourites in the gallery. It's the easiest way to choose album images, and it tells you what they love for your own marketing (with permission).
- Give a deadline for album choices, or albums can drift on for months.
- Offer albums and prints after delivery, when couples have seen the full set and are most excited about it.
- Families are buyers too. Parents and grandparents often want prints of particular images; favourites make it easy for them to point to the right ones.
UK GDPR, consent and keeping photos
Wedding photos are full of identifiable people, which makes them personal data under UK GDPR. You don't need to be a lawyer about it, but a few habits matter:
- Delivery is part of the service the couple booked, so delivering their photos to them is fine. Using the photos to promote your business (website, Instagram, adverts, competitions) is a separate purpose. Ask the couple clearly, ideally as an option in the contract they can decline, and take extra care with images of children and guests.
- Say how long you keep the photos and the online gallery, in your contract or privacy notice, and stick to it.
- Keep delivery private unless the couple chooses otherwise: unlisted galleries, passwords if they want them, and no public albums of guests without good reason.
- Keep data secure: reputable storage, strong passwords, backups, and no client photos left on a lost phone or laptop without encryption.
- Check whether you need to register with the ICO and pay the data protection fee; most businesses that process personal data do, and the ICO's website has a quick self-assessment.
Backups before delivery
Between the wedding and delivery, the only copy of a once-in-a-lifetime day may be on your desk. The common rule is 3-2-1: three copies, on two different kinds of storage, with one away from your home or studio.
- Copy the cards to two places the night of the wedding, before formatting anything.
- Keep one copy in cloud storage or off-site.
- Don't format cards until the edited gallery is delivered and backed up.
A delivery workflow that scales
- Night of the wedding: back up the cards to two places.
- Within a few days: edit and deliver the sneak peek.
- Edit the full set, exporting finals into one folder per wedding, with subfolders for parts of the day if you like (preparation, ceremony, portraits, reception).
- Create the gallery with your usual look, and check it on a phone.
- Send it with a warm note, how to download, how long it stays online, and when album choices are due.
- Follow up a week or two later for favourites, album choices and a review.
How this works in GalleryLink
If your finals already go to Google Drive, GalleryLink turns that folder into the gallery. Paste the folder link and the subfolders become sections (Preparation, Ceremony, Portraits, Reception), and anything you add to the folder later appears within about a minute.
- Your look on every wedding: pick a theme once, or describe a style in words, with your logo and no GalleryLink branding on Pro.
- Favourites and album selection, with a page listing what the couple and family chose.
- A password when the couple wants privacy, downloads on or off, ZIP downloads for the whole gallery, and an optional email before downloads.
- A closing date, if your contract says the gallery comes down after a set time.
- Stats, so you can see when the couple and their guests have opened it.
- A QR card for the venue or thank-you cards.
Pro is $5 a month or $50 a year, around £4 a month, with unlimited galleries. Drive-linked galleries don't use any storage, so a full season of weddings costs the same as one.
